Billing, Refund & Cancellation Policy

Everything about how payment works here, written out before you book rather than after something goes wrong.

Billing Policy

Holistic Medical Services United is a self-pay practice. We do not currently accept or bill insurance, and no insurance claims are submitted on your behalf. All services are paid directly by the patient.

  • A valid credit or debit card is required on file to book any appointment.
  • Initial visit fees are charged to the card on file 24 hours prior to the scheduled appointment.
  • Follow-up and refill appointment fees are charged to the card on file 24 hours prior to the scheduled appointment.
  • Fees for any other services are charged in full at the time of service.
  • Additional fees may apply for extended appointment times resulting from incomplete intake forms or other administrative delays.
  • Patients who wish to seek reimbursement from their insurer may request an itemized receipt (superbill). Holistic Medical Services United does not guarantee reimbursement and is not responsible for the outcome of any claim you submit.

Refund Policy

  • A full refund is issued when an appointment is cancelled 24 hours or more before the scheduled time.

No refunds are provided for:

  • No-shows or late cancellations (less than 24 hours’ notice)
  • Completed services
  • Pharmacy or prescription issues
  • Dissatisfaction with medication or treatment outcomes
  • Patients who have been discharged from care
  • Provider-directed refunds may be issued at the provider’s discretion if care was not initiated or a clinical mismatch was identified before the visit.

Payment Disputes & Chargebacks

By booking an appointment with Holistic Medical Services United, you agree to the following terms.

1. Payment authorization

All payments must be completed before an appointment begins. By providing your card information, you authorize Holistic Medical Services United to charge the agreed service fee, along with any applicable late-cancellation or no-show fees described in this policy.

2. No unauthorized chargebacks

Filing a chargeback (payment dispute) after receiving care, or outside the terms of our refund policy, is a violation of our patient agreement. Chargebacks filed without first contacting us may result in:

  • Immediate suspension of your account and access to services
  • Permanent discharge from the practice

If you have a concern about a charge, please contact us before contacting your bank. Most billing concerns can be resolved quickly through our team at Hello@holisticmedunited.com.

3. Refunds and disputes

Refunds are issued only in accordance with the Refund Policy above. Concerns about care quality, communication, or medication should be directed to our patient support team, not your financial institution.

4. Fraudulent or repeat chargebacks

Patients found to have submitted false, malicious, or repeated chargebacks may be permanently discharged from the practice and may be subject to recovery of funds, processing fees, and administrative costs.

Late Cancellation & No-Show Policy

  • Cancellations made more than 24 hours before the scheduled appointment are free of charge and fully refunded.
  • Cancellations made within 24 hours of the appointment may be charged in full at the provider’s discretion.
  • No-shows (missing an appointment without prior notice) are charged in full.
  • Repeated no-shows or late cancellations may result in termination of services at the provider’s discretion.

Late Arrival & Technical Difficulties

  • Please arrive (or log in) 5–10 minutes before your scheduled appointment.
  • Late arrivals may result in a shortened session with full charges applied.

For virtual visits, technical issues should be reported immediately by emailing Hello@holisticmedunited.com. If technical difficulties on our end prevent a visit from taking place, we will reschedule the appointment without penalty.

Patient Responsibility

  • Patients are responsible for ensuring a stable internet connection and a working device for virtual appointments.
  • All required documentation and intake forms must be completed before the appointment.
  • A valid government-issued ID is required to receive services.

Zero-Tolerance Policy for Abusive Behavior

Holistic Medical Services United is committed to a safe, respectful, and professional environment for patients, providers, and staff. Abusive behavior of any kind will not be tolerated and may result in termination of care.

Prohibited behavior includes, but is not limited to:

  • Threatening, harassing, or disrespectful language or actions toward providers, staff, or other patients
  • Unreasonable demands that exceed clinical guidelines or professional standards

Repeated or severe violations will result in termination of care.
